This position is an accounts payable specialist ensuring all bills are paid in an efficient and timely manner.
The candidate will provide administrative and clerical support by allocating funds through requisitions, charging the appropriate accounts, preparing weekly warrants, verifying and reconciling invoices and monitoring expenses.
This position supports five divisions within the Department of Public Works and reports to the Business Manager.
The candidate will provide customer service in all areas of the Department.
Duties include but are not limited to:
Working in collaboration with the Comptroller's office to set up new vendors in the enterprise financial system.
Forecasting funds by vendor.
Allocating funds through requisitions.
Tracking bill payment against purchase orders.
Preparing warrants and getting proper approval for submitting bill payment.
Reconciling vendor statements.
Auditing accounts payable against the financial ERP system (Munis).
Organizing and filing of invoices.
Tracking expenditures against capital appropriations.
Tracking Equipment Maintenance Divisions expenditures against budgeted accounts.
Managing the snow plowing contracts and processing invoices.
Employee reimbursements.
Managing street lighting service requests with contractors.
Additional responsibilities could include supporting payroll, general administrative support and customer service.
The candidate must demonstrate a highly detailed and analytical mindset.
Ability to work independently with few errors and have exemplary interpersonal skills both written and oral.
Candidate will be highly proficient in all Microsoft Office and Google applications.
Furthermore, this position requires a person of high integrity with strict adherence to confidential matters, as well as, the ability to be a self-starter with excellent time management and organizational skills.
The ideal candidate will have municipal experience including Munis.
Qualified candidates will as a minimum have five (5) years experience in an Executive Assistant role.
This is a full-time benefited position at 37.
5 hours per week, starting at $26.
7495/hr.
