We are currently seeking a highly organized and detail-oriented individual to join our team as a Receptionist/Administrative Assistant.
This position offers an excellent opportunity to work in a dynamic and supportive environment, assisting our attorneys in providing exceptional legal services to our clients.
Location - Route 9 in Natick.
Role is full-time and onsite.
Responsibilities:
Role will be supporting the attorneys and staff of the firm in a range of client and office matters, including:
o Front Desk Operations:
Greet clients and visitors, answer phone calls, and direct inquiries to the appropriate staff members.
Maintain a clean, professional and welcoming reception area.
o General Office Support:
Perform general office duties, including managing mail, tracking packages, ordering supplies, assisting attorneys with technical support, and working with service providers to maintain office equipment.
Coordinate Zoom and/or Teams meetings.
Run errands, including but not limited to:
take lunch orders, get lunch for firm, make bank deposits.
o Document Preparation:
Assist in drafting and editing legal documents, correspondence, and pleadings, ensuring accuracy and adherence to established formats and guidelines.
Draft, print, and proof estate planning and administration documents (including wills, trusts, powers of attorney, health care proxies, probate and real estate transfer documents).
Process, scan, and mail client documents.
Create PowerPoint presentations and flowchart documents for client meetings.
o Client Communication:
Serve as a primary point of contact for clients, providing exceptional customer service, answering inquiries, and relaying messages to attorneys and staff.
o Case Management Support:
Assist attorneys in managing case files, organizing documents, maintaining accurate, up-to-date records, tracking, and meeting deadlines.
Prepare and file legal documents with various courts and administrative agencies.
Communicate with probate courts.
o Billing and Accounting:
Assist in managing client billing, tracking expenses, client fee agreements, invoices and payments.
Requirements:
o One to two years plus of receptionist/administrative experience.
o Proficiency with Microsoft Outlook, Excel, PowerPoint, Word, Zoom, or Teams.
Knowledge of document managements systems is helpful but will train.
o Ability to interact with prospects, clients, and other law office colleagues in a professional manner.
o Attention to detail, especially for client-facing communications, and documents.
o Ability to multitask, prioritize tasks, and maintain attention to detail in a fast-paced work environment.
o Self-motivated, organized, proactive, and independent work ethic.
o Able to handle client and practice matters discreetly and with utmost confidentiality.
o Reliable transportation.
